3 Free Claude Skills That Draft My Emails, Update My CRM and Find My Meeting Times

All three are white labeled. The first time you run one, it asks about you, your tools and how you work, so the result is yours and not a copy of mine.
What Claude does while I am on a mountain bike
I spent a day this fall on my mountain bike in the Colorado high country, riding through the aspens while the leaves were turning. I was nowhere near my desk.
On a day like that, three things still happen. Replies to my routine emails get written and wait in my drafts folder. The day's conversations get written up and wait to go into my CRM. And when someone asks when I can meet, I have real open times to send back in about a minute.
Nothing is sent or saved without me. That is the part I care about most. I come back, read what is waiting, fix anything that is off and approve the rest.
I built each of these for myself first. Then I took out everything that was specific to me and turned them into files any agent can use.
What "working while you are away" really means
Claude Cowork can run a task on a schedule, so each of these skills can be set to run on its own. All three stop before the step you cannot undo:
Email: it saves drafts. It never sends.
CRM: it builds the list and waits for you to approve it before anything is written.
Calendar: it offers times. It never books without a yes.
You are still the one who hits send. You just stop doing the typing.
Skill 1: An availability finder that knows your rules
Your calendar shows what is booked. It does not know that lunch takes you 90 minutes, that a class you teach always runs long, or that your two offices are 25 minutes apart.
This one starts as a prompt. Paste it into Claude and it interviews you (about 3 minutes for the quick setup, 10 for the full one). It reads your last few weeks of calendar first and suggests answers, so you are mostly confirming. It covers:
Which kinds of meetings you take, and the days and hours you take each one (Zooms only in the afternoon, showings on weekends, coffee only in the morning)
How long each kind of meeting really takes (phone call, video call, in person, lunch)
The gap you want between meetings, including how close a quick phone call can sit to your next appointment
Your home base and the drive times to the areas you go most
What you never schedule over, and what you keep on the calendar but usually skip
After that, you ask something like "when can I meet with Sam next week?" and it does this:
Reads your calendar for the next two weeks
Checks your recent email for meetings you agreed to but never added to the calendar
Applies your rules, including the drive time between the meetings on either side
Gives you the three best options, then the full list
Flags anything on your calendar that is already double booked
Drafts the reply with the times
Step 2 is my favorite. I agree to meetings by email all the time, and the calendar invite can lag behind by days. This catches those before I offer the same time twice.
It never books, accepts or moves anything without a yes from you.
Prefer to copy and paste?
You do not have to install anything. Download the file (or on a phone, open the Google Doc version at the top of this post), copy everything, paste it into a new Claude chat and press enter. Claude starts the interview right away. Connect your calendar to Claude first.
When you finish, it hands you back one file with your rules filled in. Attach that file the next time you need times, or add it to Claude as a skill so it is always there. Tell it "lunch is 75 minutes now" or "stop offering Fridays" and it updates your rules.
Skill 2: Daily CRM notes without the data entry
I am not good at updating my CRM. I know I should log every conversation, and I do not.
So once a day, Claude reviews who I emailed, met with and talked to. It writes a short note and a next step for each person and shows me the list. I approve it, and the notes go in.
The skill sets that up for you. During setup it:
Asks which CRM you use and where your conversations happen
Checks what it can connect to and tests each connection
Reads a few of your existing notes so new ones match how you already write them
Does one practice run with you
Offers to put it on a daily schedule
It works even if your CRM does not connect to Claude
This is the question I get most. The skill tries five routes, in this order:
A direct connector. If Claude has one for your CRM, it uses that.
A custom connector. Some CRMs publish their own connection that can be added to Claude.
An automation tool. Zapier and similar tools can pass a note from Claude to many CRMs.
Your browser. With the Claude browser extension and you logged in to your CRM, Claude can type the notes in.
A running log. A spreadsheet with one row per conversation, which most CRMs can import.
Connectors change often, so the skill tests before it promises anything. And a log that gets filled in every day beats a CRM that does not.
What it will never write down
A CRM note can be read later by a team member, a new assistant, your broker or the client. So the skill has a list of things it leaves out, even when they show up in an email:
Anything tied to a protected class under fair housing law
Health details
Account numbers, passwords and lockbox codes
Opinions about a person
It also never deletes or overwrites a contact. A new phone number or email shows up as a suggested update, with the old value next to the new one, and waits for your yes.
Skill 3: Email replies in your own voice
This one has been out for a few weeks and has its own full write-up, so I will keep it short.
It reads your sent mail to learn how you write, finds the 20 kinds of emails you answer most, and lets you pick which ones it should draft. Then it can check your inbox every two hours and leave replies in your drafts folder. It never sends anything.
How to install them
The availability finder and the CRM notes skill are each one .md file. There are two ways to use a file like that.
As a prompt (fastest)
Download the .md file from the top of this post
Open any Claude chat and attach the file
Type: use this to set me up
It works right away. The catch is that Claude will not remember it next time, so you attach the file again.
As a skill (set it up once)
Open Claude Cowork and attach the file
Type: install this as a skill
Click Save when Claude shows you the skill
Say: set up my availability rules, or: set up my daily CRM notes

Which one to start with
Do them in this order:
Availability finder first. It only reads your calendar, takes 3 to 10 minutes and pays off the same day.
Email second. Start with five to eight of your easiest reply types and add more once you trust the drafts.
CRM notes last. It connects the most things, so set it up once you are comfortable with the first two.
Before you connect client conversations
Your emails and texts include other people's information. Before you connect them to any AI tool, check two things:
Your brokerage's policy on AI tools and client data
Any confidentiality promises you have made to your clients
I am not an attorney and this is not legal advice. If you are not sure, start with your calendar and your own notes, and add the rest after you check. The CRM skill says the same thing during setup.
What they will not do
They will not send, book or save on their own. Each one stops for your approval unless you tell it otherwise.
They will not work the same on every setup. Reading text messages, for example, only works on some computers. The skill tells you what it can and cannot reach.
They will not run on a schedule on a free plan. Scheduled tasks need a paid Claude plan.
They will not replace your judgment. Read the drafts. Read the notes. You know your clients.

Frequently asked questions
Are these Claude skills free?
Yes. Download them, use them and change them however you like. You do need your own Claude account.
Do I need Claude Cowork to use them?
You can attach either file to a regular Claude chat and run the setup. The parts that save the most time, like connecting to your calendar, email and CRM and running on a schedule, work best in Claude Cowork.
Will Claude send emails or book meetings without me?
No. The email skill only saves drafts, the availability finder only offers times, and the CRM skill waits for you to approve the list. Nothing goes out and nothing is booked until you say yes.
What if my CRM does not have a Claude connector?
The skill checks for a direct connector, a custom connector, an automation tool like Zapier and your browser, in that order. If none of those work, it keeps a running spreadsheet you can import into your CRM.
Is it safe to connect my email and CRM to AI?
That depends on your brokerage's policy and what you have promised your clients, so check both first. These skills read only what they need, keep notes factual and leave sensitive details out, but the decision is yours.
