How can real estate agents use Claude to draft email replies in their own voice? Install a Claude skill that studies your sent emails, learns how you write, finds your most repetitive replies, and saves ready-to-review drafts in your inbox. Nothing gets sent without you.

The Emails That Quietly Eat Your Day

Look at your sent folder from last week. I would bet a big chunk of it is the same handful of replies. Sending over a document. Confirming a showing time. Answering the same question a buyer asked you last month, and the month before that.

None of those emails are hard. They just add up. Five minutes here, ten minutes there, and suddenly the time you meant to spend on prospecting, your database, or your listings went to your inbox.

So I built a Claude skill that handles the first draft for me. It learns how I actually write, figures out which emails I answer over and over, and has replies sitting in my drafts folder when I check my inbox. I read them, tweak them if needed, and hit send. Today I am giving that skill away.

What Is a Claude Skill?

A skill is a set of instructions you install in Claude so it knows how to do a specific job the same way every time. Instead of re-explaining what you want in every chat, you upload the skill once and Claude uses it whenever that task comes up.

Anthropic has a full explanation in its guide to using skills in Claude. The short version:

  • Skills are uploaded as a ZIP file.

  • Once installed, they show up under Customize, then Skills, where you can turn them on or off.

  • You do not need to know any code to use one.

What the Email Voice Auto-Draft Skill Does

The skill walks you through a guided setup. When it is done, you end up with three things.

1. An Email Voice Profile Built From Your Own Sent Mail

Claude reads a real sample of your sent emails, both work and personal if you allow it, and studies how you write. It looks at things like:

  • How you open an email and how you sign off

  • How short or long your replies usually are

  • Whether you use exclamation points, emojis, or bullet points

  • Phrases you repeat all the time

  • How your tone changes between clients and friends

It saves all of that as a personal skill called my-email-voice. From then on, any time you ask Claude to write an email, it can sound like you instead of sounding like a robot.

2. Your Top 20 Quick-Reply Emails, Numbered

Next, Claude looks at the emails you reply to most often and groups them by what people are asking for. Then it ranks them by how often they show up and how easy they are to answer, and shows you a numbered list of your Top 20.

Your list will be built from your own inbox, so it will look different from anyone else's. For a busy agent, it might include things like:

  • Sending a requested document or checklist

  • Confirming a showing or meeting time

  • Answering whether a listing is still available

  • Thank-you and follow-up replies after a closing

  • Sharing a link to your website or a class registration page

You review the list, fix anything that looks off, and pick the ones you want drafted. Type something like 1, 3, 5-8 and you are done.

3. Automatic Drafts Every 2 Hours (Optional)

If you want, the skill sets up a scheduled task that checks your inbox every 2 hours. When a new email matches one of the categories you picked, Claude writes a reply in your voice and saves it as a draft in the same thread.

Scheduled tasks in Claude run in the cloud, so they keep going even when your computer is asleep or the app is closed. Anthropic covers the details in its article on scheduling recurring tasks in Claude Cowork.

What It Will Never Do

This is the part I care about most. The skill is built to be helpful without putting your reputation at risk.

  • It never sends anything. Every reply waits in your drafts folder until you read it and hit send yourself.

  • It skips anything involving money, pricing, invoices, or payment details.

  • It skips contracts and anything that asks you to agree to terms.

  • It skips upset or sensitive emails, like complaints.

  • It skips people you have never emailed before.

  • It never makes up facts, dates, prices, links, or attachments. If something is missing, it leaves a placeholder like [ADD LINK] so you catch it.

One more note from the title side of the business. Anything involving wire instructions or closing funds should always be handled by you directly, and verified by calling your title company at a phone number you already know. That is exactly the kind of email this skill is designed to leave alone.

What You Need Before You Start

  1. A Claude account. Skills work on Free, Pro, Max, Team, and Enterprise plans. The automatic every-2-hours schedule requires a paid plan (Pro, Max, Team, or Enterprise).

  2. Code execution turned on. In Claude, go to Settings, then Capabilities, and turn on Code execution and file creation. Skills need this to run.

  3. Your email connected. Gmail and Microsoft 365 (Outlook) both work. See Anthropic's guides for the Gmail connector and the Microsoft 365 connector.

  4. The Claude desktop app (recommended). You can download it here. It is the easiest place to run Claude Cowork and manage scheduled tasks.

Outlook users, read this first. The Microsoft 365 connector works with work or school Microsoft accounts, not personal @outlook.com or @hotmail.com addresses. It is also read-only by default, so your Microsoft admin has to turn on write access before Claude can create drafts. Without that, the skill can still build your voice profile and your Top 20 list.

How to Install the Skill

  1. Download the skill ZIP file. Do not unzip it.

  2. Open Claude and go to Customize, then Skills.

  3. Click the + button, choose Create skill, then Upload a skill.

  4. Select the ZIP file you downloaded.

  5. Make sure the skill is turned on.

That is the whole install. It takes about a minute.

How to Run the Setup

Start a new task in Claude and say: Set up my email voice and auto-drafts. Claude will take it from there. Here is what to expect.

  1. A few quick intake questions. Which email you use, what kind of work you do, whether to learn from personal emails too, and how you want your signature handled.

  2. A connection check. Claude confirms Gmail or Outlook is connected and working. If it is not, it tells you exactly where to connect it and waits for you.

  3. Your voice profile. Claude reads your sent mail and saves your my-email-voice skill.

  4. Your Top 20 list. You review the numbered list and pick which ones to automate.

  5. Your schedule. Choose every 2 hours all day, every 2 hours during work hours, once a day, or no schedule at all.

Plan for some back-and-forth the first time. Reading enough email to really learn your voice takes a bit, and that is what makes the drafts sound like you.

Tips to Get Better Drafts

  • Start small. Pick 5 to 8 of your easiest, most repetitive emails first. Add more once you trust the drafts.

  • Actually read the first week of drafts. Edit anything that does not sound like you, and tell Claude what you changed.

  • Refresh your voice every few months. Just say Refresh my email voice, especially after a role change.

  • Watch for placeholders. If a draft says [ADD LINK] or [ATTACH FILE], that is your cue to finish it before sending.

  • Keep your judgment emails for yourself. Negotiations, tough conversations, and anything with dollars attached still deserve your full attention.

Frequently Asked Questions

Does this skill send emails on its own?

No. Every reply is saved as a draft. You always review it and click send yourself. The skill does not set up automatic sending under any circumstances.

Does it work with Outlook?

Yes, through the Microsoft 365 connector, as long as you are on a work or school Microsoft account. Your admin needs to allow write access for Claude to create drafts. Personal @outlook.com and @hotmail.com addresses are not supported by that connector.

Do I need a paid Claude plan?

Skills are available on every Claude plan, including Free. The scheduled task that checks your inbox every 2 hours requires a paid plan. On a free plan, you can still build your voice profile and ask Claude to draft replies whenever you want.

Is my email data private?

The skill only reads your mailbox through the connector you authorize, and everything it creates stays in your own Claude account. Anthropic explains how connector data is handled in its Google Workspace connector guide. Review that and your own company's policies before connecting a work inbox.

Can I change which emails get drafted later?

Yes. Just tell Claude something like Add number 12 to my auto-drafts, Remove scheduling emails, or Pause my email auto-drafts. You can also refresh your voice profile any time.
